Client Services Representative

The Client Services Representative will provide assistance to the therapy director and clinic leaders in administrative duties, complete various billing functions related to therapy and training services, verify insurance, assist with and update reports, maintain the therapy credentialing portfolio, schedule patient/client appointments for therapy, training, and massage, answer incoming phone calls, order therapy, gym, and pro shop supplies/materials, oversee apparel orders, provide exceptional customer service and serve as a liaison between MPOWER and referring physicians’ clinics.

Job Responsibilities Include:

  • Responsible for monitoring the facility, which includes greeting everyone who enters the facility and assisting them to wherever they need to go
  • Oversee front desk duties at MPOWER, checking in all patients and clients upon their arrival and answering all phone calls
  • Assist in scheduling patients for therapy, training, and massage therapy as needed
  • Ensure all new patient/client paperwork is completed and entered
  • Input data into therapy/training reports on a daily basis; build reports as needed
  • Assist with billing functions related to therapy service
  • Maintain daily communication with the billing department
  • Communicate with insurance companies as well as case managers and provide necessary documentation
  • Oversee insurance verification for therapy
  • Maintain therapy credentialing portfolio
  • Oversee ordering of supplies for therapy, training and pro-shop and appropriate inventory needs
  • Maintain cleanliness of front desk, lobby, locker room and gym area, and notify appropriate vendors and staff of any maintenance concerns/issues.
  • Provide administrative support to therapy director and clinic leaders in daily operational duties
  • Maintain patient confidentiality; comply with HIPAA and compliance guidelines established by the practice
  • Maintain knowledge of practice management and other computer software as it relates to job functions
  • Perform all other task and projects assigned by supervisors

EDUCATIONAL REQUIREMENTS:

  • While no college degree is required, a bachelor’s degree in a related field or training in medical office management and/or billing is preferred
  • Training or experience in a fitness center, therapy clinic, and/or orthopedic clinic is preferred

QUALIFICATIONS AND EXPERIENCE:

  • Ability to prioritize tasks and manage time appropriately
  • Experience communicating with therapists, trainers, insurance payers, physicians and their support staff, and equipment vendors
  • Working knowledge of billing issues including: the precertification process, credentialing, co-pays, co-insurance, and in and out-of-network considerations
  • Comfortable effectively using MS Office programs including MS Word, MS Excel, MS Outlook and various internet applications
  • Ability to work proficiently with Practice Management software with sufficient training
